Business and Expert Terms

For businesses and experts who list, quote, take bookings or use the AI receptionist on OpenMap.

Version 1.0 · Last updated 19 October 2026

The short version

  • You provide your services and are fully responsible for them, your staff, licences, insurance, prices, tax and the law.
  • OpenMap is a technology platform. Your contract is with your customer; we aren’t a party to it, and we don’t promise you any work.
  • The AI receptionist and your agent act on your settings and information. Check them; they can be wrong.
  • You’ll cover our losses from claims about your services, your content or your breach of these terms.
  • Our liability to you is capped at the fees you paid us in the last 12 months (or £100 if more), and excludes indirect loss and lost profit.

1. Who these terms are for

These terms apply when you use OpenMap for a business or profession: to claim or list a business, offer services as an expert, list a rental, receive enquiries, quote, take bookings, or use the AI receptionist or a business agent (“you”, a “Provider”). They are an agreement between you and OpenMap.AI LTD (“OpenMap”, “we”), company number 17493031, registered office Clubhouse Holborn, 20 St Andrew Street, London, EC4A 3AG, United Kingdom.

They add to the Terms of Use, the Acceptable Use Policy and the Community Guidelines. If they disagree, these terms win for business use. You accept them when you claim or set up a business, start a plan or trial, or otherwise use OpenMap for a business.

You confirm that you act for business purposes, not as a consumer, and that you are allowed to bind the business you act for. If you act for a company or firm, “you” means it as well as you.

2. Our role

  • OpenMap is a technology platform that connects you with people and their AI agents. We aren’t a party to any contract between you and a customer, and we don’t act as your agent, employer, partner or representative.
  • We don’t promise any number of enquiries, bookings, customers or income, or any place in results. Results depend on many things, including what people ask for.
  • Nothing here is exclusive: you can use other platforms, and we can work with your competitors.

3. Your responsibility for your services

You are solely and fully responsible for:

  • the services, goods and rentals you offer, and their quality, safety and legality;
  • your staff, contractors and anyone who works for you, and what they do;
  • holding and keeping every licence, registration, qualification, accreditation and permission your work needs (for example Gas Safe, a professional body or a local authority licence), and telling us if one lapses;
  • your prices, quotes, deposits, invoices, refunds and cancellation terms;
  • your tax, VAT and National Insurance, and keeping proper records;
  • complying with the law, including consumer law (such as the Consumer Rights Act 2015, the information and cancellation rules for distance and off-premises contracts, and the Digital Markets, Competition and Consumers Act 2024), health and safety, equality, employment, advertising, and, for rentals, housing and lettings law; and
  • your own terms with your customers, and keeping your promises to them.

We don’t vet, supervise or endorse your work. Any check we make (such as Companies House details) is for our own purposes and doesn’t make us responsible for you.

4. Insurance

You must hold, with a reputable insurer, the insurance a careful business in your trade would hold, and any your regulator or the law requires: usually public liability, and professional indemnity where you give expert services, and employer’s liability if you employ people. Show us evidence if we ask.

5. Listings, claims and content

  • Everything on your listing, page and replies must be accurate, complete and not misleading, including prices (with VAT where you sell to consumers), availability, qualifications and photos.
  • Never post or buy fake reviews, review your own business, offer rewards for good reviews, or hide negative ones. These are illegal under consumer law.
  • When you claim a business, you confirm you’re authorised to act for it. We may ask for proof, and we may refuse, pause or remove a claim or listing.
  • You give us the licence in the Terms of Use for your content, including your name, logo and photos, to show your listing and to promote OpenMap. You confirm you have the rights to give it.
  • Your listing may go live while we review a change. We may edit its format, and hide or remove anything that breaks these terms or the law.

6. Enquiries, quotes, bookings and agent requests

  • Requests may come from people directly, from their OpenMap agent, or from another business’s agent. Messages from an agent say so. Treat them as coming from that person or business.
  • A quote you send is your offer. A booking you accept, or that your receptionist or agent accepts under your settings, binds you to that customer.
  • Use a customer’s details only to deal with their request, and as the law allows. Don’t add them to marketing without their consent, and never ask for passwords or card numbers in a message.
  • Payments you take are between you and the customer, through Stripe where OpenMap offers payments. Stripe’s terms apply to your Stripe account.

7. The AI receptionist and your agent

  • The receptionist and your business agent answer calls, messages and agent requests for you, using the information, prices, hours and settings you give them. Keep them accurate, and check what they say and book. They are AI and can make mistakes.
  • You are responsible for what they tell customers and book on your behalf, as if you or your staff had done it, unless the mistake was caused by our failure to use reasonable care and skill.
  • They tell callers they are an AI. They aren’t an emergency service: they tell people in danger to call 999.
  • Call recording is off by default. If you turn it on, you’re responsible for having a lawful reason and making sure callers are told.
  • Phone numbers we give you are provided through our telecoms provider. They stay ours or theirs, and can’t be transferred unless we agree. Fair-use limits on minutes and messages apply as shown on your plan.

8. Plans, trials and payment

  • Plan prices and what they include are on the pricing page and shown before you pay. A free trial lasts as long as we show when you start it; we ask for a card before it ends, and you’re not charged before the trial ends.
  • Plans renew every month (or year, if you chose that) until you cancel. You can cancel at any time; your plan then ends at the end of the period you’ve paid for. Fees already paid aren’t refunded unless the law requires it or we say otherwise. Business plans, call minutes and network booking fees are non-refundable (see Refunds in the Terms of Use).
  • Prices exclude VAT unless stated. We may change prices with at least 30 days’ notice; you can cancel before the change.
  • If a payment fails, we may pause paid features (such as the receptionist answering) until it’s paid.

Free trial. Every business plan starts with a 7-day free trial. We ask for a card at the start, and you’re not charged during the trial. If you cancel before the 7 days are up, you pay nothing. If you don’t, the plan starts and the first payment is taken when the trial ends.

Cancelling and refunds. You can cancel at any time. Your plan then ends at the end of the period you’ve paid for, and the fee for a period that has started isn’t refunded unless the law requires it. A business plan has its own billing. It is separate from any personal account (including any credits you have bought as a person), and nothing moves automatically between the two.

Extra use and your overage limit. Each plan includes a number of call minutes, and fair use for chat and WhatsApp enquiries (500 conversations a month). Beyond that, extra call minutes cost 15p each and extra conversations cost 10p each. You set an overage limit, the most you’re willing to pay for extra use in a month. It starts at £30 and you can change it. While your account is new, the limit is £20 in your first month, until your first successful payment. We tell you when you reach 80% and 100% of it. We take payment for extra use in blocks of £10 as it builds up, not in one bill at the end of the month. If a payment fails, we pause extra use and tell you.

When you reach the limit. Calls aren’t dropped: they are forwarded to your phone, or go to voicemail with a message, and we tell you straight away. People who message you get a polite note that you’ll reply soon, and we tell you. We never charge a customer who contacts you. If your extra use regularly costs more than the next plan up, we’ll show you how much you’d save, but we never change your plan for you.

9. Personal data

You and we each comply with UK data protection law. When you receive a customer’s details through OpenMap, you are a separate controller of them and responsible for how you use them.

For your receptionist’s calls, messages and bookings, we process personal data for you as your processor. We will: process it only on your documented instructions (these terms and your settings); keep it confidential; keep it secure; use only sub-processors we tell you about, under equivalent terms; help you respond to people’s rights requests and meet your security duties; tell you without undue delay about a personal data breach; delete or return it when the service ends (unless the law requires us to keep it); and give you the information you reasonably need to show compliance. You confirm you have a lawful basis to have us process it.

10. Your indemnity

You will indemnify and keep indemnified OpenMap, its officers, employees and contractors against all losses, damages, liabilities, fines (where the law allows), costs and expenses (including reasonable legal fees) arising from or in connection with:

  • your services, goods or rentals, and any contract with your customers;
  • any act or omission of you, your staff or contractors;
  • your listings, content and anything you tell your receptionist or agent to say;
  • your breach of these terms, of the law, or of anyone’s rights; and
  • any claim by a customer, your staff or anyone else about any of these.

We’ll tell you promptly about a claim, let you take part in handling it, and not settle it without consulting you. This indemnity doesn’t cover loss to the extent it was caused by our own breach or negligence.

11. Our liability

OpenMap is provided as it is and as available. As far as the law allows, we exclude all warranties and terms implied by law, and we don’t promise that it will be uninterrupted, error-free or bring you any result.

As far as the law allows, we aren’t liable to you, however it arises, for:

  • loss of profit, revenue, business, contracts, goodwill or anticipated savings, whether direct or indirect;
  • loss or corruption of data (keep your own records);
  • any indirect or consequential loss; or
  • the acts or omissions of customers, other users, other businesses or their agents.

Our total liability to you under or in connection with these terms, in contract, tort (including negligence) or otherwise, for all claims arising in any 12 months, is limited to the greater of £100 and the fees you paid us in the 12 months before the event that gave rise to the claim. You must bring any claim within 12 months of when you knew, or should have known, about it.

Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or anything else that can’t be limited or excluded by law.

12. Suspension and ending

You can stop using OpenMap for business at any time. We may suspend or remove a listing, the receptionist, a plan or an account, at once and without liability, if you breach these terms or the law, if we receive credible complaints or safety concerns, if a payment is overdue, or to protect people or OpenMap. Otherwise we may end these terms with 30 days’ notice. Sections 3, 9, 10, 11 and 13 continue after they end.

13. General

  • Entire agreement. These terms, with the documents they refer to, are the whole agreement between you and us about their subject. You haven’t relied on anything not set out in them (but this doesn’t limit liability for fraud).
  • Changes. We may change these terms with at least 30 days’ notice by email or in the app, or sooner where the law or safety requires. If you keep using OpenMap for business after that, the new terms apply.
  • Events outside our control. We aren’t liable for delay or failure caused by events beyond our reasonable control, including failures of our providers, telecoms networks or the internet.
  • Transfer. We may transfer or subcontract our rights and duties. You may not without our written consent.
  • No partnership. Nothing here creates a partnership, joint venture, employment or agency.
  • Third parties. Only you and we can enforce these terms, except that our officers, employees and contractors may enforce section 10.
  • Severance and waiver. If part of these terms is unenforceable, the rest still applies. Not enforcing a term straight away isn’t a waiver.
  • Notices may be sent by email to the address on your account, or to support@openmap.ai.
  • Law and courts. These terms and any dispute about them (including non-contractual disputes) are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
